Administration panel is divided in the following sections::
Users ManagementIn this section you can create, edit or delete the users who can access to the system.
In this way you can create a new user. Follow these instructions:
1) insert name, surname and valid email address

2) choose from the list the group to assign to the user and click on the link "create a new group" to create a new one

3) check the Readuser box if you want the user to be able to see all the files and folders from other groups.
4) check the Poweruser box if you want the user to be able to create a project folder.
5) Finally, choose a password and click
to save your data in the database.
Data for access (login and password) will be emailed to the new user created if the operation will be successfully completed.
In this way you can modify user's data stored in the database. Follow these instructions:
1) select user group's membership

2) once you find the user, click ![]()

3) make your editing ( see "Create new user" ) and click ![]()
In this way you can delete users from your database. Follow these instructions:
1) select user group's membership

Groups ManagementIn this section you can create, edit or delete groups.
In this way you can create a group. Follow these instructions:
1) insert group's name and description
2)select Readgroup box if group's users will be able to see all files and folders from other groups.

In this way you can edit an existing group from your database. Follow these instructions:
1) Once you find the group you want to edit, click ![]()

2) Make your editing (name or description) and click
, and you can see users list from this screen
In this way you can delete an existing group from your database. Follow these instructions:
1) Once you find the group you want to delete, click
, If the group has be assigned to some users, you have to delete them from the list clicking ![]()
2) repeat the action 1) to delete the group and confirm clicking OK

File ManagerIn this administration panel's section, you can create folders, subfolders and files.
This screen presents a list of folders and files on the system.
The folders are marked with the icon
, Files icon will change according to their extension. If the file will have an unknow extension or not stored in the database (in file_type table), the icon will be ![]()
File icons' can be changed in server folder /images/ext. If you want to add new icons, you only have to create a GIF file renaming it with the extension ".gif" (for example, for exe file image it will be "exe.gif"). The file size in pixels will be: width (width) 16 pixels, height (height) 16 pixels. To complete the transaction, change the table file_type database, setting "1" to "ICON" to activate the extension.
Next you find the example of folder's content. To access into a subfolder you have just to click on the folder.

Is always possible to know in which folder we are, thanks to
showing the path we did.
The functions available in this interface are:
You can crete a new subfolder in any folder you are clicking
, Then you will see this screen.

Enter folder's name, description and choose which kind of authorization you want to to set up for the folder. Choosing "Default" the subfolder will have the authorzation settings of the folder she is into. If the new subfolder is created in root folder there will be set permissions for all Reading groups.
If you have not already created an authorization model, you can click on the link "create a new model of authorisation" (see --> Templates Authorization). Then click ![]()
In any folder you are, you can insert a new "file" clicking on the link
, Then you will see this screen

Select from your PC the file to send clicking on "browse". Insert any description and choose whether to set a revision number. Then choose authorizations' type (choosing "Default", the file will have the authorzation settings of the folder it is into. If the new file is created in root folder there will be set permissions for all Reading groups. See also --> Templates Authorization). Then click ![]()
Clicking
a folder, it will be possible to edit the folder (name and description). View --> Folder Creation
Follow these instructions:
1) Under a file, click ![]()
2) on this screen
Click Download the file to save it on your PC and to edit it.
3) Once you did you editing to the file then click on Edit files on the server, you will see the following screen

To change the description of the file, click on Save the description, to the new file amended click browse to select the file from your PC and then click Save the file on the server
Be careful! After downloading the file for editing, it will remain blocked in the system and no one will have access in reading function, so in case of erasing of the editings click
.
Under a folder or a file, clicking on
you can delete a folder or file. The folder will be cancelled only if it does not contain files, then only if it is empty.
Click OK to confirm.
Under a folder, clicking
you can delete a folder containing files and subfolders. The operation will not be possible if the folder contains void subfolders. Click OK to confirm.

you can set permissions for users and groups, see --> Authorizations .
Under a folder, clicking
you can export the contents of the folder in a HTML format file. . This file (index.htm) if physically located in the corresponding folder, will make possible the "local" navigation of the folders and files.
In case you should add "physically" files or folders directly on the file folder server and not through the system, this function allows you to add them automatically in the database. In a first time the screen will present a list of files and folders contained in the main folders. Browsing trough them in the system will check for new files or folders and automatically add them to the database, synchronizing the list.
Be careful! Before copying the files on the server make sure that they have full control permits for "everyone" on windows or 777 authorizations on unix / linux.

Be careful! You can not reverse the transaction. If you physically delete a file or folder from the server (outside the system), the database system will remain unchanged and will have a list of files that are not synchronized and mismatch than the physically available one.

ProjectsIn this section of the administration panel, you can create a folder with a project treae. Inside the folder project there will be created folders "areas" and in these ones the subfolders of "assets". This tree is completely flexible and easily configurable thanks to the management areas separate from folders and folders one. Avaible functions are:
For the creation of the project folder you must follow these instructions:
Before creating the folder project, we must have created folders areas ( see --> Management Areas) and related activities ( see --> Management Activity )
Enter the name, any description and choose the type of authorization to set up for the folder, selecting Default permissions it will be set Reading for all groups. If you have not already created a model of the authorization, you can do it by clicking on the link "create a new model of authorization (see --> Templates Authorization). Click

This function allows you to add, modify or delete folders areas. The screen presents a list of folders with the ability to apply the following functions:
From left to right, the table shows the name, description and the list of default permissions for users and groups.
To add a new area click
, insert folder's name and any description. In Authorizations form you can set an already existing authorization model (see --> Authorization's models). You can leave void the form and you can set the authorizations in a second time manually (see --> edit area). Click
to save settings.
In the area you want to edit click
and follow the instructions:
1) set Users and Groups authorizations choosing user/group from the list

This tool lets you add, edit, delete Activities' folder. It is to say the folders that will be created in each area folder. The screen represents the list of folders on which you can have the following operations:
From left to right, the chart show name, related company and authorizations' list for users/groups.
To add a new Activity click
insert folder's name, any description and area folder. In Authorizations form you can set an already existing authorization's model (see --> Authorization's models), You can leave void the form and you can set the authorizations in a second time manually (see --> edit activity). Click
to save settings.
In the folder you want to edit click

1) set Users and Groups authorizations choosing user/group from the list

Authorizations In this admin panel section, you can assign authorizations for file or folders, you can decide if the user could enter to some tools using FileManager. In particular user's access works in this way:
1) if the user is file/folder's owner or has setted total control, he will be able to use each operation (reading, writing, editing, deleting and setting)
2) if the user has reading authorization, if it's a file he can read the informarions and dowload it. If it's a folder, he can read his content.
3) if the user has writing authorization, he can create subfolders and insert new files in the folder
4) if the user has editing authorization, he can edit file or folder
5) if the user has deleting authorization, he can delete file or folder
Authorizations setted on the user overload authorzations setted on groups. If there is no authorization setted, the user will have the same permission as his belonging group.
There are two ways o set authorizations: by customized management for files/folders or creaating authorizations' models settings
The screen schows to the left file/folders list; in the centre the interface to set authorizations for users/groups.
On the top we have selected folder

on which set permissions.
It is possible to change folder/file's owner selecting from the list

To add an authorization follow the instruction above:
1) select file/folder in the left column
2) select user/group from the list ![]()
3) set the following parameters:

Authorizations' list will be in the lower part of the page. You can delete an authorization clicking

This tool lets you add or delete predefinied authorization's models. It is to say, an authorizations list already setted for users and groups that can be apllied to folders or files
The screen shows from the left to the right, model's name and related authorisations applied to users and groups.
The operations you can take are:
To add a new model click
and insert model's name and click ![]()
In model you want to delete click
and follow the instructions:
1) set Users/Groups permissions choosing user/group's from the list
and select the parameters:

2) in created authorizations' list, insert name and description for your model and click

In this section you can have all access to the system from users and files editing.
With this tool you will know how many users are connected to the system.
You will know username, IP address and the time of the last access to the system.

In this screen you can see every users' Login and Logout.

This list can be filtered by day, month and year

If you do not select the day
the research will show the whole month.
You can delete every log by day clicking ![]()
Every time the user opens the file to edit it, it will be registered a log to the page checked off "opened to edit". With the sending of modified file, the log will be checked off "modified file".

In this page you can do the backup of the whole database in SQL (Structured Query Language). Once you click
you will be asked to save/download the file .sql. To restore the database you just need to import th saved file in MySQL database.
The file includes chart's structure and belonging data.
